HR & Office Associate
Location: Chicago, IL (4 days on-site, 1 remote)
About the Role
We’re looking for a proactive, detail-oriented, and people-focused HR & Office Associate to join our Chicago office. This full-time role blends key responsibilities in human resources and office management and is ideal for someone who enjoys supporting the employee experience while helping an office run smoothly.
You’ll work in the office four days per week, with the flexibility to work from home one day.
Key Responsibilities
Human Resources Support
Assist with employee engagement initiatives and help foster a positive, inclusive workplace culture
Respond to general HR inquiries and provide first-level support to employees
Support HR reconciliations, including documentation related to taxes, benefits, and record keeping
Manage HR-related documentation and mail, including confidential and time-sensitive materials
Help coordinate the onboarding process for new hires, including welcome materials, workspace readiness, and device setup
Serve as the primary point of contact with the Marketing team for all HR-related requests and coordination
Responsible for preparing and delivering weekly, monthly, and ad hoc HR reports to support internal tracking and decision making
Administer and maintain the HRMS system, ensuring accurate employee data, updates, and system functionality
Maintain and update HR-related databases, ensuring records are accurate
Office & Administrative Support
Oversee daily office operations, ensuring the workplace is organized, well-stocked, and running efficiently
Coordinate device procurement for new hires and replacement needs, in partnership with IT
Book and coordinate employee travel, including transportation and accommodations
Order office supplies, liaise with vendors, and assist with space planning or events as needed
Handle mail, shipping, and general administrative tasks, such as scanning, filing, and printing
What We’re Looking For
1–3 years of experience in HR support, office administration, or a similar role
Excellent communication and interpersonal skills — professional, friendly, and reliable
Highly organized and detail-oriented, with the ability to manage multiple priorities
Discreet and respectful when working with confidential or sensitive information
Comfortable with Microsoft Office and familiar with basic HR systems/tools
Experience with travel coordination or equipment logistics is a plus
